COLLECTION DEVELOPMENT POLICY

 

The library collection development policy is determined in line with the education, training, research areas and cultural needs of the University. The library collection consists of printed materials such as books, magazines, thesis, audio-visual materials such as DVDs, CDs, films, etc., and electronic resources. The collection is created and developed through purchase and donation, according to established principles.

 

The publication selection principles of Gazi University Library are as follows:

 

  1. The resources to be selected should be of a level and quality that supports all the education and training fields and research conducted at the University. 
  2. In the selection, the balance between the ratio of the collection to the user (academic staff / student) should be maintained, and care should be taken to include up-to-date information. 
  3. The collection should be sufficiently diverse in terms of subject, language and genre to meet the information needs of users. 
  4. Literary and cultural artifacts should be available that will enable users to evaluate their cultural development and extracurricular time.
  5. Priority is given to the acquisition of the resources suggested by the instructors for education, training and research activities, in line with the integrity of the collection and the requirements. 
  6. The same principles are taken into account in the selection of purchased, subscribed and / or open access electronic resources. 

 

PUBLICATION SELECTION WITH PURCHASING METHOD

 

  1. Publication requests of university members are forwarded to the Library and Documentation Department in writing and/or via the form on the Library website. These requests are met within the framework of the budget possibilities of that year.
  2. Collective publication requests of Academic Units for their own fields are submitted to the Library and Documentation Department in written form and approved by the Head of the Department / Dean. These requests are provided within the framework of the budget possibilities of that year.
  3. New publications monitored by librarians are provided within the budget possibilities of that year.

 

There are separate procurement policies for books, periodicals and electronic resources to be provided through purchase.

 

  1. Book Purchase Policy

 

  1. Gazi University members can make a request for publications that are not in the Library by filling out the publication order form on the website of the Library and Documentation Department ( http://lib.gazi.edu.tr ).
  2. There is no limitation for Gazi University Members in the number of publications to be requested. The publication purchase budget allocated to the Department is spent in line with the criteria established by considering the number of faculty members and students in the units at the University.
  3. Publication requests from Gazi University members are evaluated by the Accession, Cataloging and Classification Unit. The criteria taken into account when evaluating requests are:

 

  1. Compliance of the subject of the requested publication with the education policy of Gazi University
  2. Interdisciplinary use
  3. up-to-date
  4. The nature of the publisher
  5. The ratio of the subject of the publication in the collection
  6. Price
  7. Language of the broadcast
  8. Physical properties (printed, electronic, etc.)
  9. Whether the same copy of the requested publication is in the Gazi University Library.
  10. If the lost publications are not found within a certain period of time, they are re-purchased according to usage rate and demand.
  11. Publications that are physically unavailable are re-purchased according to usage rate and demand.

 

B. Periodicals Provision Policy

 

  1. Gazi University faculty members submit the information of the periodicals they want to be subscribed to to the Department.
  2. Periodical requests are evaluated by the Department at the end of each year. The criteria taken into account when evaluating requests are:

 

  1. Compliance of the subject of the requested periodical with Gazi University's education policy
  2. Scientific nature
  3. Interdisciplinary use
  4. The nature of the publisher
  5. Price
  6. Language of the broadcast
  7. Physical properties (printed, electronic, etc.)

 

  1. Electronic Sourcing Policy

 

  1. Gazi University members can make a request for the databases they want to be subscribed to by filling out the publication order form on the website of the Library and Documentation Department ( http://lib.gazi.edu.tr ).
  2. Publication requests from Gazi University members are evaluated by the Reference Unit.
  3. The databases that are not subscribed in line with the missing subjects in the collection are opened to the University IPs for trial access.
  4. During the trial period, feedback from users is expected and the databases opened for trial are evaluated by the Reference Unit.
  5. The criteria taken into account during the evaluation and subscription to the database are as follows:

 

  1. Compliance of the subject of the database with Gazi University's education policy,
  2. Compliance with the expectations and requirements of the user group addressed by the resource,
  3. Whether there is another database on the same subject to which the library subscribes
  4. Whether the journals in the databases with full-text journals are peer-reviewed, how much the impact factor ratio is, whether they are indexed by internationally important indexes / abstracts,
  5. Usage statistics during trial access,
  6. Whether retrospective access is possible,
  7. Whether regular updates are made or not,
  8. Whether there is an embargo on journals,
  9. Usage statistics obtained during the trial period,
  10. Scientific nature of the database,
  11. The nature of the publisher,
  12. Submission format of articles / books / theses (HTML, PDF, EPUB etc.),
  13. The speed and reliability of the platform on which the database runs,
  14. Easy usability of the interface,
  15. Whether it allows remote access (Proxy)
  16. Whether there is a user limitation,
  17. The suitability of its price and annual price increase rate,
  18. License terms

 

  1. Usage statistics are taken into account when renewing database subscriptions, and if the usage statistics are low, the subscription may be canceled.
  2. The criteria taken into account when selecting audio-visual material within the scope of electronic resources are as follows:

 

  1. Compliance of the subject of the requested material with the education policy of Gazi University,
  2. In cultural publications, it should be appropriate for the level and experience of the user,
  3. Attention to the provision of award-winning films
  4. Giving importance to the provision of high-rated films by following international film evaluation sites

 

DONATION POLICY

 

  1. Publication donations can be made between Gazi University and other Higher Education Institutions in order to support education, contribute to research and improve the library collection in line with the cultural needs of the users.  
  2. Gazi University Library accepts donations on the condition of adhering to the publication selection principles.
  3. The general principles set forth in the Resource Selection Principles also apply to information resources provided as donations.
  4. No fee or reward is given for donations received.
  5. When it comes to the donation of a collection containing more than one material by any person, Gazi University Library has the right to choose between these publications and to weed out the sources that do not comply with the publication selection principles.
  6. "Donation Publication Contract Form" is filled and given to the donating institution or person by the Rector's Office or the Library and Documentation Department; a letter of thanks is written; In addition, information about who donated and when is recorded in the publication.
  7. In order for periodicals to be accepted as donations, compliance of the publication with the integrity of the collection is taken into account.
  8. Multi-volume works are accepted if they form the integrity of the volume.
  9. Photocopied publications, publications without banners, and publications in poor physical condition are not accepted as donations.
  10. The authority to decide where the material will be placed in the collection and how it can be accessed belongs to the Library.
  11. Information sources deemed appropriate for the library collection are added to the collection by subjecting them to the same procedures as for other information sources.
  12. When the donated publications are entered into the Library's inventory, a "Mobile Transaction Slip" is issued.
  13. The Department may apply to private or legal persons for collection donations.
  14. The Department has the right to donate the publications it accepts as donations to another library, if it deems appropriate.

 

PRINCIPLES ON INFORMATION SOURCES THAT ARE NOT INCLUDED IN THE COLLECTION

 

The following resources are not accepted for donation as they are not suitable for a University Library collection: 

 

  1. Duplicated materials
  2. Separate editions of book chapters and journal articles
  3. Worn and unsuitable publications
  4. Periodicals that cannot be maintained
  5. Publications available in the library collection (except for popular publications)
  6. Multi-volume works with no binding integrity
